    ReliaSource is seeking Administrative Support Specialists with subject matter expertise in the areas of PEO ACWA-specific planning and documentation, historical records, records management, business finance, and scheduling.

    Responsibilities

     

    The SUBCONTRACTOR shall perform administrative activities as required to support the Government’s mission. The SUBCONTRACTOR shall perform typical administrative duties as specified by the SPM or Government SME for the functional area.

    The following activities are included as typical work efforts but can vary based on the SPM’s needs:

    • The SUBCONTRACTOR shall support the Government PCAPP FO staff in performance of routine administrative responsibilities. This support shall include preparing, routing, issuing, distributing, and filing all correspondence IAW Army regulations (i.e., AR 25-50 and AR 25-400-2).
    • The SUBCONTRACTOR shall maintain the PCAPP Correspondence System IAW AR 25-50.
    • The SUBCONTRACTOR shall maintain administrative control of all official documentation in the PCAPP FO files. Maintenance shall also include action item tracking, report and document reproduction and distribution, and calendar development and upkeep. The PCAPP Correspondence System shall meet the standards of the ARIMS, AR 25-400-2.
    • The SUBCONTRACTOR shall provide the PCAPP FO staff with PCAPP FO staff and
      visitor in-processing, mail and package receipt, processing Government forms, filing, and support with common office computer software (e.g., support in MS Word®, MS Excel®, MS Outlook®, MS PowerPoint®), and other common office administrative requirements.
    • The SUBCONTRACTOR shall support the PCAPP FO staff with in-processing/on-boarding of new Government and SUBCONTRACTOR personnel IAW PCAPP FO procedures.
    • The SUBCONTRACTOR shall provide support for visits, ceremonies, and/or special events within the organization, providing ancillary protocol support. Activities may include preparing agendas, arranging transportation support, coordinating facilities or other logistics for high-ranking officials.
    • The SUBCONTRACTOR shall facilitate site meetings, prepare/maintain action item lists, prepare/maintain documentation logs, prepare/circulate for review/distribute correspondence, provide status updates/reports, and ensure that project documentation is coordinated with appropriate organizations.
    • The contactor shall support the archival of official PCAPP records IAW the ARIMS.
    • The SUBCONTRACTOR shall support the archival of historical records until completed, leaving only current and future records to be processed for archiving. Maintain and track training requirements for PCAPP FO personnel and may be assigned as training coordinator. Informs employees of training opportunities, prepare necessary documentation for requesting training, and follow up on completion. Troubleshoots problems training record software/systems, and coordinates with the ACWA training coordinator to keep abreast of training support doctrine and changes in training software/program administration.
    • The SUBCONTRACTOR shall develop and maintain databases, tracking logs, etc. to be
      used by the Government in their oversight mission. Examples include, but not limited to, GSR findings and SC response database, laboratory certifications and approved methods, risk management logs, correspondence and action tracking.
    • The SUBCONTRACTOR shall provide support to designated meetings and program
      reviews including reviews by other federal or state agencies and higher headquarters. This support shall include preparation of briefing material, and preparation of meeting minutes and after-action reports, to include, but not limited to, maintenance and tracking of directed actions. Support shall include facilitation of meetings to support demilitarization mission (i.e. leadership meetings, CAC meetings, State Regulators, and other meetings).                                       
    • The SUBCONTRACTOR shall take minutes and document actions (assignment of follow up action) at key PCAPP meetings.
    • The SUBCONTRACTOR shall provide administrative support for the ACC-RI
      procurement and contract activities at the PCAPP FO. This work shall include the collection, assembly, preparation, and compilation of data and other related information and background material and contract files. Provide technical input in regard to review of invoices against established cost and schedule information. Reviews shall focus on invoice content accuracy and computation. Technical input shall be provided to the Administrative Contracting Officer (ACO).
    • The SUBCONTRACTOR shall provide technical input of SC payment requests and
      vouchers submitted by the SC for accuracy, compliance with the FAR and consistency with previous submissions. This may include the need to track the progress of actions by the Defense Finance & Accounting Service (DFAS) and Defense Contract Audit Agency (DCAA) as approved by the ACO. Discrepancies shall be documented on the invoices and/or vouchers and provided to the ACO with suggestions for action.
    • The SUBCONTRACTOR shall prepare, assemble, file, copy, and distribute contractual
      and procurement documents to assist the ACO in maintaining complete/accurate records.
    • The SUBCONTRACTOR shall provide technical writing services responsible for
      organizing or editing complex material. Technical Writing support shall be provided for (including but not limited to): technical evaluations, internal plans/procedures, interagency service agreements, reports for upper management and stakeholders, briefings, white papers, etc.
    • The SUBCONTRACTOR shall provide support for meetings among various Government, SC, and PCAPP partners and stakeholders. Support shall include activities such as issuing invitations, reserving conference rooms, setting up and break down of conference rooms and audiovisual, teleconference and/or video conferences for meetings among PCAPP FO organizations.
    • The SUBCONTRACTOR shall provide support to designated meetings and program reviews including reviews by other federal or state agencies and higher headquarters. This support shall include preparation of briefing material, and preparation of meeting minutes and after-action reports, to include, but not limited to, maintenance and tracking of directed actions. Support shall include facilitation of meetings to support demilitarization mission (i.e. leadership meetings, CAC meetings, State Regulators, and other meetings). The SUBCONTRACTOR shall take minutes and document actions (assignment of follow up action) at key PCAPP meetings.
    • The SUBCONTRACTOR shall maintain meeting minutes to include the upload of minutes and other documents to the ACWA Share Point site and/or submittal to the PCAPP FO Configuration Control Board.
    • The SUBCONTRACTOR shall provide administrative support to execute ongoing
      projects and special programs by collecting, and arraying data for analysis by higher level personnel. Assists in the preparation, collection, and distribution of information for reports, reviews, staff calls, and other meetings, as required. May be required to work independently or as a team member on special assignments and to assist in the execution of a variety of support programs within the organization such as personnel in and out processing, calendars, security, special recognition events, files management, and reports.
    • The SUBCONTRACTOR shall exercise a high degree of initiative, tact, diplomacy, and persuasion to anticipate and provide for higher-level supervisors’ and managers’ needs, to ensure compliance with the organization's policies and regulations, and to maintain an efficient and uninterrupted flow of business in the office.
    • The SUBCONTRACTOR shall provide guidance to and assist organizational personnel on a variety of administrative matters based on a thorough knowledge of appropriate regulatory guidelines, local operating procedures and other unique requirements.
    • The SUBCONTRACTOR shall maintain a suspense log on taskings and information items requiring attention by the supervisor or project officers within the ACWA and shall assure suspense dates are met within the designated timeframes. Monitors and ensures both internal and external taskings are completed on time and forwarded appropriately.
    • The SUBCONTRACTOR shall provide support assisting employees with issuing travel orders in DTS and preparing their travel claim. Provide support for processing FO personnel time cards.

    Qualifications

     

    • Possess the administrative skills required throughout above responsibilities
    • Possess expertise in the areas of PEO ACWA-specific planning and documentation, historical records, records management, business finance, and scheduling.
    • Possess a valid driver’s license
